ViacomCBS is seeking a Coordinator to assist in maintaining the day-to-day billing systems and invoice processing of all appropriate expenses for the Marketing Acquisition & Campaign Service (MACS) team.

This role will be responsible for ensuring all 3rd party invoices tied to the MACS team are paid on-time, vendor billing relationships are maintained, and any new vendors are properly registered in the necessary internal tracking systems and tools.

As Billing Coordinator this role will report directly into the Senior Billing Coordinator within the MACS Operations vertical.

The MACS team is a performance driven, paid digital marketing team that provides in-house strategy, activation, operations, and analytical support to brands across the entire ViacomCBS portfolio.

This includes overseeing media campaigns across non-owned & operated digital inventory for the ViacomCBS streaming services, brand consumer marketing teams, consumer product teams, content distribution org, and corporate communications / B2B marketing.

Our team oversees all related contractual, financial, vendor, and data operations.

Responsibilities :

  • Maintain team billing tracker and other related financial documents
  • Review and process invoices for 3rd party vendor services
  • Track media expenditures for all digital and linear media ad campaigns to ensure timely receipt and clearance of vendor invoices, working with brand clients and vendors to ensure these processes are followed
  • Create and maintain very close relationships with billing teams on both the brand and vendor sides.
  • Clearly document and outline the processes for each brand and vendor to prevent any errors due to nuances with each.
  • Learn to efficiently use the multiple enterprise resource planning systems used by ViacomCBS and any future systems that are put in place.
  • Work with vendors and internal clients directly on resolving billing discrepancies expediently
  • Initiate monthly meetings with planners / buyers to review and confirm expected and actualized media spend for the month and submit any necessary accruals or other journal entry types
  • Proactively problem-solve invoice issues that stem from the large number of internal clients using the same platforms, working closely with ViacomCBS Finance, internal partners, and external Vendors as needed
  • Work directly with internal partners for specific client billing deadlines and understanding of requirements.
  • Respond to all emails and inquiries in a timely manner to avoid escalation
  • Maintain a close working relationship with Viacom Financial Planning & Analysis to ensure all necessary info is passed along accurately and efficiently

Basic Qualifications :

  • Undergraduate degree from an accredited college or university
  • 1-2 years of sales, agency, or marketing experience, preferably in the entertainment space (strong internship experience considered)
  • Experience or knowledge of invoice processing systems and accounts payable work is strongly recommended
  • Experience with campaign management systems (i.e., MediaOcean Prisma) a plus
  • Knowledge of the digital media ecosystem and related technology, including ad serving platforms (Google CM360, etc.), programmatic buying platforms (Google DV360, Trade Desk, etc.

  • Moderate to advanced knowledge of Excel (required : VLOOKUP and Pivot Tables)
  • Ability to multi-task and meet deadlines
  • Ability to lead meetings and presentations without any additional support
  • Able to communicate in a clear, coherent, and professional manner verbal and written
  • Strong problem-solving skills
  • Ability to work and multi-task in fast paced, environment
  • Ability to inspire and drive cross functional teams working towards a unified goal
